We have an exciting opportunity for an enthusiastic receptionist to join Rigby Cooke Lawyers on a part-time basis.

The ideal candidate will provide friendly, professional service to the firm and its clientele. As the first point of contact for all clients and visitors, this role requires a high level of professionalism and dedication to delivering outstanding service.

This role is a part-time, six to nine-month contract with work days on Tuesday, Wednesday and Thursday.

We welcome applications from candidates who have prior experience in customer service and/or client-facing roles, strong administration skills and preferably have catering and barista experience.

The position — duties, responsibilities and experience

Main duties and responsibilities

  • Provide a high level of care and support to our clients in a professional manner.
  • Build strong relationships with our clients and internal and external stakeholders.
  • Prompt management of all telephone calls.
  • Greet and direct clientele, visitors and staff in a friendly and professional manner.
  • General file management and administration.
  • Maintain knowledge of the firm’s structure, personnel and services provided, so that enquiries are directed to the most appropriate person.
  • Manage and coordinate room bookings for client and internal meetings.
  • Manage catering and refreshments for meetings and events.
  • Maintain the tidiness of the reception area, and client and staff kitchens.
  • Support legal assistants and other team members with document management, filing and archiving tasks as required.
  • Compliance with internal policies and procedures.
  • Fire warden and first aid duties.

Experience and skills required

  • Prior experience in customer service and/or client-facing roles.
  • Strong administration skills – organised, thorough, and system-oriented with meticulous attention to detail.
  • Proficient in MS Office suite, including Teams, Word, Excel and Outlook.
  • Experience with iManage and Affinity (preferable).
  • Catering and barista experience including food handling and basic food preparation (preferable).
  • Ability to communicate at all levels.
  • Able to work competently, unsupervised and as part of a team.
  • Pro-active, punctual and reliable.
  • Have a positive, friendly and energetic attitude.
  • Continually strives for superior client service and process improvement.
