Rigby Cooke Lawyers have an exciting opportunity for an experienced and motivated Finance Assistant or Manager to become a valued member of our Finance team. In this role, you’ll work closely with our Head of Finance to support the firm’s financial operations, drive efficiency, ensure compliance, and contribute to strategic financial planning.

The position - duties, responsibilities and qualifications

General duties and responsibilities

  • Liaise with banks to set up and manage financial facilities as required.
  • Maintain office account in compliance with regulations, including PAYG remittance and superannuation payments.
  • Complete and submit BAS, WorkCover remuneration returns, and payroll tax returns.
  • Oversee daily processing of accounting transactions and accounts payable.
  • Conduct various reconciliations, including trust balances and debtor management.
  • Assist in preparing budgets, cash flow forecasts and financial reports for internal stakeholders.
  • Support insurance renewals, including PI, building, and other insurances.
  • Manage reporting on billable hours and utilisation targets.
  • Preparation of the firm’s bank reconciliations daily, including processing of all receipts and payments.
  • Maintaining and reviewing cash flow on a daily and monthly basis.
  • Preparation & review of balance sheet reconciliations, monthly prepayments and depreciation schedules, and accruals.
  • Preparation of other reports as required each month. E.g. new matters opened, new clients for the month, etc.
  • Assisting with monthly billing and billing queries.
  • Assist the Head of Finance and wider Finance team when required, including providing support during periods of annual or sick leave.

Credit control

  • Directly liaise with clients regarding overdue payments via telephone, e-mail, and letter.
  • Negotiate payment deadlines or payment plans with clients.
  • Provide documentation, such as invoices to debtors, in relation to their accounts as required.
  • Liaise and interact with lawyers on a regular basis regarding client queries, statements and problem debtors.
  • Allocation and reconciliation of payments to customer accounts.
  • Document progress on collection efforts (e-mail trails, file notes from phone calls).
  • Maintain proper records of client accounts.
  • Solve problems regarding incorrect payments.
  • Produce reports as required, including aged debtors’ reports.
  • Escalate any issues regarding debtors to the Head of Finance.
  • Refer debts to the legal team when necessary.
  • Preparation of solicitor’s audit letters for clients.
  • Processing daily client queries.
  • Keeping track of client debtor files sent to litigation for collection.
  • Sending letters of demand to non-fee-paying debtors.

Qualifications, experience and skills required

  • Experience in debt collection and managing payment plans
  • Book-keeping and accounting experience
  • Proficiency in financial reporting
  • Problem-solving skills to handle financial issues and irregularities
  • Experience with financial software/systems
  • Proficiency in Microsoft Office, particularly Microsoft Excel
  • Prior experience in legal or professional services (preferred)
  • A qualification in accounting, finance, commerce, or a related field (preferred)
